Creating a Service Entry Sheet

Vendor/supplier users (partner admin) who are provided access to Service Entry Sheet (SES) app can generate the service entry sheet for services provided against a confirmed PO.

Users can access the assigned SES records from To-do’s, bell notifications or email notifications.

To login, follow the sign up process described in the section How to Login to the IENT Application.

To generate a service entry sheet:

  1. Log in to the IENT application.

  2. On the homepage, under My apps, click Service Entry Sheet app.
    The Service Entry Sheet app screen is displayed along with all the existing service entry sheets if already generated.

  3. Click + on the top right corner.
    The Create Service Entry Sheet Details screen is displayed.

  4. In the Basics Information section, select the purchase order against which the SES is to be created.
    The PO details along with cost and currency get populated in the top section of the screen based on the selected PO.

  5. In the Next Status field, select one of the options as required:

    • Submit for Approval

    • Save as Draft

  6. Enter/select the other mandatory values in the Basics Information section.

  7. Enter the details in the Technical Details and Additional Details sections.
    Note: These sections are displayed when General Services option is selected in the Service Category field.

  8. The Delivery Details section, displays the billing, delivery and shipping information based on the associated PO.

  9. In the Line Item(s) section, enter the details of the services provided.
    Select the Service Description from the dropdown list (list is based on the associated PO) and Quantity value (this value can be less than and equal to the total contracted value for the PO). The corresponding cost and tax are calculated based on the entered value in the Quantity field. If entered value is less than the contracted value, new SES can be created later on after providing the remaining services. Click the View All link against a line item to view the complete details.
    Click +Add Line Item link to add additional entries, if required.

  10. Click Submit.
    The SES gets created and has status Submitted for Approval.

    When the buyer user from the buying organization approves the SES, the status changes to Approved. In case the SES is returned for amendment the status becomes Returned for Amendment, the supplier/vendor can modify and resubmit it (the status then becomes Resubmitted for Approval). For rejected SES, case closes and it cannot be resubmitted.
